Executive Operations Manager
OVERVIEW
The Executive Operations Manager helps the Leadership Team stay focused, organized, and moving forward. This role combines executive support, project management, and organizational coordination to ensure priorities are executed well and the organization runs smoothly.
Working closely with the Executive Director and Leadership Team, this person anticipates needs, manages strategic projects, coordinates key meetings and communications, and builds systems that improve organizational effectiveness.
The ideal candidate is highly organized, proactive, adaptable, and comfortable managing multiple priorities at once. They communicate clearly, exercise sound judgment, follow through consistently, and enjoy bringing order to complex projects in a fast-paced, mission-driven environment.
KEY RESPONSIBILITIES
Executive Support & Leadership Operations
- Own the operational rhythm of the Leadership Team by preparing meetings, tracking action items, ensuring follow-through, and helping priorities continue moving between meetings.
- Provide day-to-day support to the Executive Director and Leadership Team by anticipating needs, coordinating schedules, preparing meetings, organizing materials, and ensuring follow-through on key priorities.
- Manage calendars, travel, meetings, and logistics while helping leaders stay focused on their highest priorities.
- Prepare agendas, reports, presentations, meeting notes, and other communications as needed.
- Serve as a point of contact for board members, investors, ministry partners, vendors, and other key stakeholders while handling confidential information with professionalism and discretion.
- Maintain organized systems for contacts, documents, expenses, and organizational records.
Project & Operational Management
- Lead multiple projects and organizational initiatives from planning through completion, ensuring priorities, deadlines, budgets, and deliverables remain on track.
- Coordinate work across teams, helping projects move forward through clear communication, effective planning, and consistent follow-up.
- Develop and improve systems, workflows, and processes that increase organizational effectiveness and reduce unnecessary complexity.
- Monitor project progress, identify obstacles, recommend solutions, and help ensure commitments are completed.
Communications & Coordination
- Support investor, partner, and organizational communications in collaboration with leadership, development, and communications teams.
- Coordinate reports, presentations, events, follow-up communications, and other materials that support organizational priorities.
- Help ensure communication is timely, accurate, and consistent across projects and stakeholders.

Qualification & Skills
- Bachelor’s degree or equivalent professional experience.
- Five or more years of relevant experience in executive support, operations, project management, or a related role.
- Exceptional organizational and time management skills with strong attention to detail.
- Proven ability to manage multiple priorities while consistently following through on commitments
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and sound judgment when handling confidential information.
- Strong proficiency with Microsoft Office, Google Workspace, project management software, and Collaboration tools.
- Self-starter who is adaptable, resourceful, and enjoys solving problems.

COMPENSATION AND BENEFITS
- Salary: Competitive base salary, commensurate with experience
- Benefits: Medical, dental, vision, short- and long-term disability insurance, and retirement plan with employer match
- Paid Time Off: Two weeks (increasing with tenure) plus one week to volunteer with other ministries
- Travel: Less than five percent
